Rent collection:
I create the impression that I am professional by using an online rent collection software that:
Tracks payments,
Adds late fees,
Automatically invoices tenants,
Allows me to add both one-time and recurring expenses; and
Optionally, prevents tenants from making partial payments.
Documentation:
I have templates with detailed instructions on how to modify them for each property. As a result:
My team can easily find and access the documents because we have strong written policies to guide them to the correct template; and
My team knows where to file the completed version(s) for each property and/or tenant.
Processes:
I have documented my processes, including checklists, that enable my team to handle business events either largely or entirely without my day-to-day input.
My documented processes include two or more of the following:
Managing a tenant turn (e.g. vetting tenants and processing applications), and/or
Managing maintenance requests (or preventive maintenance orders), and/or
Managing receipts and bookkeeping
As a result of this process documentation, I have automated (or delegated) many of my processes to others.
Maintenance:
I can rest easy knowing that:
Maintenance requests are being received; and
The damage is quickly mitigated; and
My vendors are dispatched in a timely fashion; and
I track work requests and service orders through each stage of the process; and
I keep records of work completed as well as work-in-progress at the per-property level.
Reporting/Books:
I am confident in my financial decisions because:
I track key metrics of my rentals and portfolio; and
My books are current and well organized with proper documentation.
